FirearmFlow is a tool used by firearm consultants, competency trainers and gun shops to manage firearm licence applications.
Where a consultant, trainer or gun shop invites an applicant to FirearmFlow, that business is the responsible party for the applicant’s personal information and FirearmFlow acts as an operator (processor) on their behalf. For account holders (consultants and their staff), FirearmFlow is the responsible party.
We share information with trusted service providers who host and support the platform under confidentiality obligations. We do not sell your information. Application information is only made available to the consultant managing that application, and is submitted onward only at the direction of the applicant or their consultant. We may disclose information where required by law.
We use encryption and access controls to protect information, and store documents securely. No system is completely secure, and we work to protect information using reasonable technical and organisational measures.
We keep personal information only for as long as needed to provide the service and to meet legal, tax and regulatory requirements, after which it is deleted or de-identified.
Subject to applicable law, you may request access to, correction or deletion of your personal information, and may object to certain processing. Applicants should direct requests to their consultant in the first instance. To exercise your rights, contact our Information Officer below.

FirearmFlow is a software tool that your consultant uses to collect and manage the paperwork for your firearm licence application. You access it through an invite from your consultant. FirearmFlow does not itself provide firearm consulting or legal services.
FirearmFlow does not decide firearm licence applications. Applications are considered by the South African Police Service (SAPS), and FirearmFlow is not affiliated with SAPS. We do not guarantee that any application will be approved, and nothing on the platform is legal advice.
Your use of the platform is subject to our Acceptable Use Policy.
The platform and its content are owned by FirearmFlow and may not be copied or reused except as needed to use the service.

FirearmFlow is provided to legitimate firearm professionals only. You are responsible for your account, your staff’s use, and keeping login details secure.

FirearmFlow acts as an operator (processor) for the client information you process, and will process it on your documented instructions in line with POPIA.
Your use is subject to our Acceptable Use Policy. We may suspend or terminate access for breach of these terms or unlawful use. You may stop using the service at any time.
We grant you a limited, non-exclusive, non-transferable licence to use the platform for your firearm application business. All platform rights remain with FirearmFlow.
